How we work, from first call to ongoing support

Every project follows the same six steps, so you know what happens next, what we need from you and what you will receive at the end.

The steps

  1. 1
    Day 1

    Discovery call

A short call about your business, your customers and what is not working today. We ask questions, look at your current setup if relevant and tell you honestly whether we can help.

  2. 2
    Days 1-3

    Written scope and quote

You receive a plain-language scope listing deliverables, timeline, what we need from you and a fixed price. Nothing starts until you approve it in writing.

  3. 3
    Days 2-5

    Access and kickoff

You grant access to the accounts involved using permissions you control. We confirm the plan, collect brand assets and content, and set up a shared place for updates.

  4. 4
    Week 1-3

    Build and review

We build in stages and share progress for review, such as page drafts, workflow maps or dashboard layouts. Your feedback is recorded and applied before we move on.

  5. 5
    Final days

    Testing and launch

Forms, workflows, integrations and pages are tested with test data. Once everything passes and you approve, we switch it on and monitor the first live activity.

  6. 6
    After launch

    Handover and support

You receive recorded walkthroughs, notes on how things are set up and a support window for questions. Ongoing plans are available but never required.

What you can hold us to

Scope in writing

Deliverables, timeline and price are written down and approved by you before any work begins.

No surprise charges

Anything outside the agreed scope is quoted separately, and only done once you approve it.

Replies within one business day

Messages sent during the working week get a response within one business day, even if the full answer takes longer.

Access you control

We use individual user access with the permissions the work requires, and you can remove it whenever you want.

Tested before launch

Nothing goes live until it has been tested end to end and you have approved the result.

Recorded handover

You get walkthrough videos and written notes so your team can use and adjust what we built.

The tools we use, and why

GoHighLevel

The CRM, messaging, calendar, funnel and automation platform at the center of most of our builds.

Google Workspace

Shared documents for scopes, content collection and written procedures, plus calendar scheduling.

Loom

Short recorded walkthroughs for reviews and handovers, so explanations can be replayed later.

ClickUp

Project boards that track tasks, approvals and requests, so everyone can see what is in progress.

Slack

Day-to-day messages with clients and virtual assistants when quick back-and-forth is useful.

Zoom

Discovery calls, setup calls and screen-share reviews.

Figma

Designing website pages, dashboard layouts and GoHighLevel themes before they are built.

Google Search Console

Submitting sitemaps, checking indexing and monitoring search performance for websites we launch.

Frequently asked questions

Straight answers to the questions people ask us most. If yours is not here, ask us directly.

How long is the discovery call and what should I prepare?

The discovery call usually takes about thirty minutes. It helps to have a rough idea of what you want to fix, a list of the tools you currently use and, if relevant, access to your website or GoHighLevel account so we can look together. You do not need a formal brief. Our questions are designed to draw out the details we need.

What is included in a written scope document?

A scope lists what we will build or do, what is excluded, the timeline, what we need from you and by when, the price and the payment schedule. It also names your main contact. It is written in plain language rather than legal or technical terms, so you can confirm it matches what you expect before approving it.

What happens if I want to change something mid-project?

Tell your contact and we will check whether the change fits within the current scope. Small adjustments often do. If it adds work, we send a short written change note with the extra cost and any effect on the timeline. Nothing changes until you approve the note, so the project never drifts away from what you agreed.

How many rounds of revisions are included?

Most projects include review rounds at key stages, such as after the first draft of pages, the workflow map or the dashboard layout. The number of rounds is written into your scope. We encourage collecting feedback from everyone involved before sending it, because a single consolidated set of comments keeps the project moving faster than several separate ones.

What causes projects to run late?

The most common causes are delayed content, missing account access and slow approvals. We reduce them by listing everything we need upfront, with dates, and by sending reminders before items are due. If a delay comes from our side, we tell you as soon as we know and explain the new date. Timelines in your scope assume both sides keep to the agreed dates.

How do you test work before it goes live?

We use test contacts, test bookings and test submissions to run every form, calendar and workflow from start to finish, checking that messages send, data lands in the right fields and notifications reach the right people. Websites are checked on mobile and desktop for speed and broken links. We share a short summary of what was tested before asking for your approval to launch.

Will I get documentation of what you built?

Yes. Every handover includes recorded walkthroughs of the parts your team will use and written notes covering how things are set up, such as which workflows exist, what triggers them and where settings live. For dashboards and custom code, we include technical notes so another developer could maintain them if needed.

How are support requests handled after handover?

During the support window, send questions or issues by email or through the shared project board, and we respond within one business day. After the window, you can raise requests under a monthly plan or ask for a quote for new work. Urgent problems, such as a broken form or a workflow sending the wrong messages, are prioritized.
