The short answer

Agency Command Center, explained simply

An agency command center is an internal dashboard that shows the status of every client an agency manages in one place. It pulls data from all GoHighLevel sub-accounts, ad platforms, billing and task tools, flags clients with falling leads, broken workflows or overdue payments, and helps the team prioritize work.

Sound familiar?

These are the problems that usually bring people to us. If two or more apply, this service is worth a closer look.

You cannot see across all clients at once

GoHighLevel is organized by sub-account, so checking how every client is doing means clicking into each one. With dozens of clients, that rarely happens.

Problems surface when the client complains

A form stops submitting, an ad account runs out of budget or a workflow is switched off, and nobody notices until the client calls asking where their leads went.

Account managers juggle too many tabs

Each team member keeps their own mix of bookmarks, spreadsheets and notes, so work is inconsistent and hard to hand over when someone is away.

No early warning for churn

Clients rarely cancel without warning signs, such as falling lead volume, late payments or slower replies, but those signals are spread across different tools.

Leadership lacks an agency-wide view

Owners want to know total managed ad spend, revenue per client and which clients are profitable, but pulling that together is a manual project.

What is included

Everything below is part of the work, written into your quote, and handed over with notes so you are never locked in.

All-client overview

A single table of every client with leads this period, change versus last period, ad spend, cost per lead and status.

Client health score

A score built from rules you choose, such as lead trend, payment status and response time, to highlight clients at risk.

Issue detection

Automatic flags for zero leads in a set period, failed payments, ad accounts with spending issues and other conditions you define.

Multi-account connections

Connections to every GoHighLevel sub-account through the agency API, plus Google Ads manager accounts and Meta business accounts.

Agency revenue view

Monthly recurring revenue, client lifetime and revenue per client from Stripe, GHL SaaS billing or QuickBooks.

Team workload panel

Open tasks and assignments by account manager, from GoHighLevel tasks or tools such as ClickUp or Asana.

Alerts to Slack or email

Daily digests and instant alerts sent to the right team member when a client needs attention.

Team logins and permissions

Internal logins with roles, so account managers see their clients and leadership sees everything.

How the work runs

A clear path from first call to handover. You always know what is happening, what we need from you, and what comes next.

  1. 1 Week 1

    Agency operations review

We learn how your agency runs, which tools you use and which warning signs have preceded problems or cancellations in the past.

  2. 2 Week 1-3

    Connect accounts and design rules

We connect GoHighLevel at agency level, ad manager accounts and billing, then agree on health score rules and alert conditions.

  3. 3 Week 3-6

    Build the command center

We build the overview, client detail pages, alerts and team views, sharing working previews every week.

  4. 4 Week 6-7

    Pilot with your team

Your account managers use it day to day for a week or two. We tune alerts so they are useful rather than noisy.

  5. 5 Week 8

    Launch and operating guide

We finalize access, document how the health score works and suggest a simple daily routine for using the dashboard.

Before and after

With Getcustomerservices: Health score highlights clients at risk
Team workload
Before: Spread across personal spreadsheets
With Getcustomerservices: Visible per account manager in one panel
Agency revenue

With Getcustomerservices: Shown live from billing data

What you can expect

Problems caught earlier

Automatic flags help your team find broken forms, paused campaigns and failed payments before the client has to point them out.

A shared daily routine

Everyone starts the day from the same screen, which makes work more consistent and handovers much easier.

Clearer view of agency performance

Leadership can see revenue, managed spend and client health across the whole agency without asking anyone to build a report.

Better-timed retention conversations

Health scores highlight clients who may be unhappy, giving account managers a chance to step in early.

How can an agency monitor all GoHighLevel sub-accounts in one place?

GoHighLevel's agency view lets you switch between sub-accounts, but it does not show key numbers for every client side by side. To get that, a dashboard uses the GoHighLevel API with agency-level access to read each sub-account's contacts, opportunities, appointments and conversations on a schedule, then stores the results in one database.

From there, the command center can show a single table with every client, sorted by whatever matters most to you, such as the biggest drop in leads or the longest time since a lead was answered. Clicking a client opens a detail page with trends and recent activity. We also connect ad manager accounts so ad spend and cost per lead sit alongside the CRM numbers.

What is a client health score and how is it calculated?

A client health score is a single number or color that summarizes how a client relationship is going. It is not a prediction from a black box. It is a set of simple rules you agree with, each worth a number of points, added together. For example, leads up versus last month might add points, while an overdue invoice or no logins for thirty days might remove them.

We design the rules with you based on what has preceded problems in your agency before. The score is shown with the reasons behind it, so an account manager can see exactly why a client turned amber. We review and adjust the rules after launch, because the first version is rarely perfect and should improve as you learn which signals matter most.

  • Lead volume trend versus previous period
  • Cost per lead versus the client's target
  • Payment status and failed charges
  • Speed of response to new leads
  • Client engagement, such as portal logins or replies

Is it worth building a custom agency dashboard instead of using an off-the-shelf tool?

Off-the-shelf agency reporting tools work well for standard ad and SEO reports, and if one meets your needs, it is usually the cheaper choice. They tend to fall short when you need deep GoHighLevel data across many sub-accounts, your own health score rules, connections to your specific billing and task tools, or alerts that match how your team actually works.

A custom command center costs more upfront and needs ongoing care, so it makes the most sense for agencies with enough clients that missed problems and manual checking are costing real time and revenue. On the discovery call we look at your current tools honestly and, if an existing product covers most of what you need, we will say so.

Frequently asked questions

Straight answers to the questions people ask us most. If yours is not here, ask us directly.

What is an agency command center dashboard?

It is an internal dashboard that gives your agency team a view of every client in one place. It combines data from all GoHighLevel sub-accounts, ad platforms, billing and task tools, then flags clients that need attention. Unlike a client portal, it is used only by your team to manage delivery, spot problems and plan the day.

Does it work with GoHighLevel SaaS mode?

Yes. If you run SaaS mode, the command center can include subscription status, plan level and failed payments for each sub-account, alongside usage signals such as logins and lead activity. This helps you see which SaaS customers are active and which may cancel, so your team can reach out with support or training before they leave.

How many sub-accounts can the command center handle?

The system is designed to scale from around twenty sub-accounts to several hundred. Larger agencies need more careful scheduling because of API rate limits, which cap how many requests can be made in a period. We plan data collection around those limits so every account updates reliably without overloading your GoHighLevel connection.

Can the alerts go to Slack?

Yes. Alerts can be sent to Slack channels, individual Slack users, email or SMS. You can route each type of alert to the right person, for example sending ad spend issues to the media buyer and payment failures to accounts. We tune the rules during the pilot so your team receives fewer, more useful alerts.

Can the command center connect to ClickUp or Asana?

Yes, both offer APIs. We can show open tasks, overdue items and workload per account manager next to each client's performance. If your team tracks tasks inside GoHighLevel instead, we can read those. The aim is to see delivery work and client results together so you can spot where workload is affecting outcomes.

Who on my team should use the command center?

Account managers use it daily to check their clients and act on alerts. Operations or delivery managers use it to balance workload and review quality. Owners use the agency-wide view for revenue and client health. Role-based logins mean each person sees what is relevant to them without extra clutter.

Can the command center also power client portals?

Yes. Because the command center already collects data for every client, the same data can feed a client portal with a separate, client-facing interface. Building both on one foundation usually costs less than building them separately. We discuss this on the discovery call if you are considering both.

How secure is it to connect all my client accounts?

We use official APIs with the narrowest access possible, read-only wherever the platform allows it. Credentials are stored encrypted, the dashboard sits behind individual logins with optional two-factor authentication, and access is logged. You can revoke our app's access at any time from inside each platform.
