The short answer

KPI Analytics Dashboards, explained simply

A KPI analytics dashboard is a custom screen that tracks the key performance indicators of a business, such as revenue, profit margin, close rate, average job value and cash collected. It combines data from GoHighLevel, Stripe, QuickBooks and ad platforms, compares results against targets and highlights what needs attention.

Sound familiar?

These are the problems that usually bring people to us. If two or more apply, this service is worth a closer look.

You run the business on gut feel

You know roughly how the month is going, but you do not have exact figures for close rate, average job value or profit until your bookkeeper sends a report weeks later.

Sales and finance data never meet

Your pipeline lives in GoHighLevel, payments live in Stripe and costs live in QuickBooks. Working out which lead source is actually profitable means a spreadsheet project every time.

No clear targets for the team

Salespeople and office staff do not see their own numbers against a goal, so it is hard to coach them or recognize good work fairly.

Too many numbers, not enough meaning

Every tool has its own reports full of figures, but none of them tell you which three or four numbers matter most this week.

What is included

Everything below is part of the work, written into your quote, and handed over with notes so you are never locked in.

KPI definition workshop

A working session to choose your key numbers and define each one precisely, so everyone measures the same thing.

Owner's scorecard

A top-level screen showing each KPI against its target, with simple green, amber and red status.

Revenue and profit tracking

Cash collected from Stripe or GHL payments and costs from QuickBooks combined to show gross profit by month and service.

Pipeline and close rate

Opportunity counts, stage conversion and close rate from GoHighLevel pipelines, broken down by source and salesperson.

Team performance view

Calls made, appointments set, deals won and response times per team member, pulled from GHL activity data.

Threshold alerts

Email or SMS alerts when a KPI moves outside the range you set, such as lead response time going above an hour.

Trend and forecast charts

Rolling trends and simple projections based on pipeline value and historical close rates, clearly labeled as estimates.

Role-based access

Owners see everything, managers see their team, and staff see only their own numbers.

How the work runs

A clear path from first call to handover. You always know what is happening, what we need from you, and what comes next.

  1. 1 Week 1

    KPI workshop

We work with you to pick the numbers that matter, agree on targets and write a plain definition for each one.

  2. 2 Week 1-2

    Data audit and connections

We connect GoHighLevel, payment, accounting and ad tools, and check data quality. If pipeline stages or tags need tidying first, we flag it.

  3. 3 Week 2-4

    Build the scorecard and drill-downs

We build the owner's view first, then the detailed pages behind each KPI, sharing previews as we go.

  4. 4 Week 4

    Validate with real numbers

We compare dashboard figures with your accounts and CRM for a past month and resolve any differences together.

  5. 5 Week 5

    Launch, alerts and training

We switch on alerts, set up user access and walk your team through how to read and act on each number.

What you can expect

A clear weekly picture

You can see whether the business is on track in a few minutes, rather than waiting for month-end reports.

Better decisions about where to spend

Linking lead sources to revenue and profit shows which channels deserve more budget and which are only producing activity.

Fairer, more focused team conversations

Shared targets and visible numbers make one-to-ones more objective and help people see where they can improve.

What KPIs should a small business owner track?

Most owners need fewer numbers than they think. A good starting set covers four areas: demand, conversion, money and delivery. Demand means new leads and where they came from. Conversion covers appointment rate and close rate. Money includes revenue, cash collected, average job value and gross margin. Delivery covers things like jobs completed, customer reviews or refund rate.

The right list depends on how your business makes money. A dental clinic may care most about new patient bookings and show rate, while a roofing company may focus on inspections booked, estimates sent and close rate on estimates. We start every project with a workshop to pick eight to twenty numbers that genuinely drive decisions, rather than tracking everything because the data happens to exist.

  • Demand: leads by source, cost per lead
  • Conversion: appointment rate, show rate, close rate
  • Money: revenue, cash collected, average job value, margin
  • Delivery: jobs completed, review rating, rework or refunds
  • Team: response time, calls made, deals won per person

Can GoHighLevel data be combined with QuickBooks and Stripe?

Yes. GoHighLevel, QuickBooks Online and Stripe all offer APIs, so a custom dashboard can pull contacts and opportunities from GoHighLevel, payments from Stripe and expenses or invoices from QuickBooks. The challenge is matching records between systems, for example knowing that a particular Stripe payment belongs to a particular GoHighLevel opportunity.

We solve this by agreeing on a shared identifier, usually the customer's email address or an ID stored in a custom field, and by tidying up how your team records sales in GoHighLevel if needed. Where perfect matching is not possible, we are upfront about it and show the figures at a level that is still accurate, such as total revenue by month rather than revenue per individual lead.

What is the difference between a KPI dashboard and a reporting dashboard?

A reporting dashboard is mostly about marketing activity: where leads came from, what campaigns cost and how traffic is trending. It answers the question of whether marketing is working. It is often shared with clients or a marketing team and refreshed so people can review performance regularly.

A KPI dashboard sits one level higher and is designed for owners and managers. It combines marketing with sales, finance and team data, compares each number to a target and highlights what needs attention. It answers the question of whether the whole business is on track. Many businesses start with one and add the other later, and both can share the same data connections to keep costs down.

Frequently asked questions

Straight answers to the questions people ask us most. If yours is not here, ask us directly.

What is a KPI dashboard?

A KPI dashboard is a single screen that tracks the key performance indicators of a business against targets. It typically shows numbers such as revenue, close rate, average job value and lead response time, with a clear status for each. The goal is to let an owner or manager see what needs attention in minutes rather than digging through several reports.

How many KPIs should my dashboard show?

Most owners do best with eight to twelve headline KPIs on the main screen, with more detail available one click deeper. Showing too many numbers makes it harder to see what matters. During the workshop we help you choose a focused list and agree on a precise definition and target for each one before we build anything.

Can the dashboard track individual salesperson performance?

Yes, as long as your team records their activity in GoHighLevel. We can show calls made, appointments set, opportunities won and response times per person. Role-based access means staff can see their own numbers without seeing their colleagues', while managers and owners see the full team view. This works best when opportunities are assigned consistently.

Do you need access to my accounting software?

Only if you want profit, margin or expense figures on the dashboard. We request read-only access to QuickBooks or a similar tool, which lets us read invoices and expenses but not change anything. If you prefer not to connect accounting, we can track revenue from Stripe or GoHighLevel payments alone and leave cost figures out.

What if my GoHighLevel data is messy?

That is common, and we check for it during the data audit. Typical issues include unused pipeline stages, missing lead sources or opportunities that are never marked won or lost. We give you a short list of fixes, and we can make them for you as part of the project, because a dashboard is only as reliable as the data feeding it.

Can I set targets that change each month?

Yes. Targets can be fixed or set month by month, which is useful for seasonal businesses. You can update them yourself in a simple settings screen without touching any code. The dashboard then compares actual results against the target for the selected period and shows progress so far for the current month.

Are the forecasts on the dashboard accurate?

Forecasts are estimates based on your current pipeline and past close rates, and we label them clearly as estimates. They are useful for spotting whether a month is likely to land above or below target, but they cannot predict unusual events. We explain exactly how each forecast is calculated so you can judge how much weight to give it.

Can the KPI dashboard cover multiple locations?

Yes. If each location has its own GoHighLevel sub-account, we connect them all and add a location filter, plus a comparison view that ranks locations side by side. Location managers can be given access to their own branch only, while owners see the combined picture across the whole business.
