The short answer

Client Portals, explained simply

A client portal is a secure, branded website where an agency's clients log in to see their own results. It shows leads and campaign performance from GoHighLevel and ad platforms, plus invoices, deliverables, approvals and support requests, so clients get answers without emailing the agency or learning complex software.

Sound familiar?

These are the problems that usually bring people to us. If two or more apply, this service is worth a closer look.

Clients keep asking for updates

Your inbox fills with questions like how many leads came in this week or whether the new ad is live. Each answer means logging in, checking and writing back.

The full GHL sub-account overwhelms them

Giving a client access to their sub-account shows them dozens of menus they do not need, and some clients accidentally change settings or workflows.

Files, invoices and approvals are scattered

Reports live in Google Drive, invoices in Stripe or QuickBooks, approvals in email threads and requests in WhatsApp. Nothing is in one place.

Your service feels less valuable than it is

When clients cannot see the work happening behind the scenes, they underestimate it, which makes renewals and price increases harder conversations.

What is included

Everything below is part of the work, written into your quote, and handed over with notes so you are never locked in.

Individual client logins

Each client user gets their own secure login and only ever sees their own company's data.

Results overview

Leads, appointments, ad spend and cost per lead pulled from GoHighLevel and ad platforms, shown in plain language.

Lead list view

A read-only list of recent leads with source and status from the GHL sub-account, without exposing the full CRM.

Invoices and billing

Invoices and payment status pulled from Stripe, QuickBooks or GoHighLevel payments, with download links.

Deliverables library

A place for reports, creative files, contracts and recordings, organized by month or project.

Approvals

Clients approve ad creative, landing pages or content with one click, and you get notified.

Request and support form

Clients submit requests that create a task or opportunity in GoHighLevel, so nothing gets lost in chat apps.

Your branding and domain

Your logo, colors and a domain such as portal.youragency.com, so the portal feels like part of your service.

Admin panel

A simple screen for your team to add clients, manage users and control what each client can see.

How the work runs

A clear path from first call to handover. You always know what is happening, what we need from you, and what comes next.

    Plan what clients should see

We map the questions your clients ask most, the data you are comfortable sharing and the actions they should be able to take.

    Design the portal

We design the screens with your branding and share clickable mockups so you can approve the layout before development.

  3. 3 Week 2-5

    Build and connect data

We build the portal, connect GoHighLevel, ad platforms and billing tools, and set up strict rules so each client only sees their own data.

  4. 4 Week 5

    Test with real clients

You invite one or two friendly clients to try it. We fix anything confusing and test permissions carefully.

  5. 5 Week 6

    Launch and roll out

We help you invite clients, provide a short how-to guide you can send them, and hand over admin training for your team.

What is a client portal for a marketing agency?

A client portal is a private website where each of your clients logs in and sees information about their own account. For a marketing agency that usually means campaign results, leads, booked appointments, invoices, files you have delivered and any items waiting for their approval. It replaces a mix of emails, shared folders and PDF reports with one consistent place.

The key difference from a public dashboard link is security. Every client has their own login, and the portal is built so a client can only ever see their own data. Your team uses an admin area to add clients, connect their GoHighLevel sub-account and ad accounts, and decide which sections each client can see. Clients get clarity, and you keep control of what is shared.

Should agency clients use the GoHighLevel sub-account or a separate portal?

Some clients are comfortable working inside GoHighLevel, especially when they use the conversations inbox and mobile app every day. For them, a well-configured sub-account with limited user permissions may be enough. Many business owners, though, only want to know whether marketing is working and what they owe, and the full CRM is more than they need.

A separate portal gives those clients a simple view: a handful of numbers, a list of leads, their invoices and a way to ask for help. It also reduces the risk of a client editing a workflow or pipeline by mistake. Many agencies use both, keeping the sub-account for clients who answer leads themselves and offering the portal to owners and decision-makers who just need the summary.

How do you keep each client's data private in a portal?

Data separation is designed in from the start, not added later. Every record in the portal database is tagged with the client it belongs to, and every request checks the logged-in user's client before returning anything. We test this by logging in as different clients and confirming that no data crosses over, and we repeat those checks after major changes.

Other safeguards include encrypted connections, hashed passwords, optional two-factor login, read-only API access to GoHighLevel and ad platforms wherever possible, and activity logs that show who viewed or changed what. If you work in a regulated field such as healthcare or finance, tell us early so we can discuss what data should and should not appear in the portal at all.

  • Per-client data separation on every request
  • Read-only connections to source platforms where possible
  • Optional two-factor authentication
  • Activity logging for admin actions

Frequently asked questions

Straight answers to the questions people ask us most. If yours is not here, ask us directly.

Can clients log in with their own email address?

Yes. Each client user gets a login tied to their own email address and password, with optional two-factor authentication for extra security. You can add several users per client, such as the owner and an office manager, and give them different permissions. Password resets are handled automatically by email, so your team does not need to manage them.

Does the portal replace GoHighLevel?

No. GoHighLevel remains the system where your team runs campaigns, automations and conversations. The portal reads data from GoHighLevel and other tools and presents a simplified, client-friendly view. Requests submitted in the portal can create tasks or opportunities back in GoHighLevel, so your existing workflow stays in place.

Can the portal run on my own domain?

Yes. We set it up on a subdomain you own, such as portal.youragency.com, with an SSL certificate so the connection is secure. Your logo, colors and email sender name are used throughout, so clients see your brand rather than ours. We do not place our own branding anywhere in the client-facing screens.

How do you add a new client to the portal?

Your team uses the admin panel to create the client, link their GoHighLevel location ID and any ad accounts, and invite their users by email. The process usually takes a few minutes once the client's accounts are connected. We document the steps and record a short training video so anyone on your team can do it.

Can clients pay invoices inside the portal?

They can view invoices and follow a secure payment link from Stripe, QuickBooks or GoHighLevel payments. We do not store card details in the portal itself. Payments are always handled by the payment provider, which keeps sensitive information out of your portal and reduces your security responsibilities.

Is a client portal worth it for a small agency?

It depends on how many clients you have and how much time goes into status updates. Agencies with only a few clients often manage well with a shared reporting dashboard. Once you have ten or more retainer clients, or clients who expect a premium experience, a portal usually starts paying for itself in time saved and in how professional your service feels.

Can I resell the portal as part of my own package?

Yes. The portal is built for your agency and carries your branding, so you can include it in your retainers or charge for it as an add-on. Many agencies position it as part of a higher service tier. We do not claim any credit on the client-facing side, and you set your own pricing.

What happens to the portal if I stop the care plan?

The portal keeps running as long as it is hosted, but connections may break over time when platforms update their APIs, and security updates will not be applied. If you leave, we can transfer the code and hosting to your own accounts or another developer, following the terms agreed in your project contract.

Can different clients see different sections?

Yes. The admin panel lets you switch sections on or off for each client. For example, a lead generation client might only see leads and invoices, while a full-service client sees ads, SEO, deliverables and approvals. This lets one portal serve every service level you offer without building separate versions.
