The short answer

Reporting Dashboards, explained simply

A custom reporting dashboard is a web page built for your business that automatically pulls data from GoHighLevel, Google Ads, Meta Ads, GA4, call tracking and other tools into one view. It refreshes on a schedule, shows the numbers you actually care about, and replaces manual spreadsheet reports.

Sound familiar?

These are the problems that usually bring people to us. If two or more apply, this service is worth a closer look.

Reports take hours every month

Someone on your team exports CSV files from GoHighLevel, Google Ads and Facebook, pastes them into a spreadsheet and tidies them up. It is slow, it is boring and it is easy to get wrong.

Every platform tells a different story

Meta says it drove 80 leads, Google says 60, and your CRM shows 95 total. Without one place that lines the numbers up, nobody knows which figure to trust.

The built-in GHL reports only go so far

GoHighLevel has useful reporting, but it does not combine ad spend, call recordings, website traffic and revenue from outside tools into one cost-per-lead or cost-per-sale view.

You find problems too late

When reports are monthly, a broken form or a campaign that stopped converting can go unnoticed for weeks. By the time you see it, the budget is already spent.

Clients or partners ask for numbers you cannot quickly give

When a client, owner or business partner asks how marketing is performing, you have to dig through several logins before you can give a confident answer.

What is included

Everything below is part of the work, written into your quote, and handed over with notes so you are never locked in.

Data source connections

Secure connections to GoHighLevel, Google Ads, Meta Ads, GA4, Search Console, call tracking and other tools you use, through their official APIs.

Central data store

A small database that keeps your history, so you can compare this month with last month even if a platform only keeps limited data.

Live charts and trend lines

Leads, appointments, spend, cost per lead and revenue shown as clear charts with date filters and period-over-period comparison.

Lead source attribution

A breakdown of where leads came from, matched against GoHighLevel opportunities, so you can see which channels produce booked jobs, not just clicks.

Scheduled PDF or email reports

Optional weekly or monthly summaries sent automatically to you, your team or your clients.

Mobile-friendly layout

The dashboard works on a phone, tablet or laptop, so you can check numbers between appointments.

Secure login

Password-protected access with separate logins for each person, so only the right people see your data.

Walkthrough and documentation

A recorded walkthrough and a short guide explaining what each number means and where it comes from.

How the work runs

A clear path from first call to handover. You always know what is happening, what we need from you, and what comes next.

  1. 1 Week 1

    Discovery call and metric list

We agree on the questions the dashboard must answer, the tools it must connect to and the exact definition of each number, such as what counts as a lead.

  2. 2 Week 1-2

    Access and data connections

You grant read-only access to each platform. We connect the APIs, pull historical data and check it against what you see inside each tool.

  3. 3 Week 2-3

    Design and build

We design the layout, build the charts and tables, and share a working preview so you can comment before anything is final.

  4. 4 Week 3-4

    Review and accuracy check

We walk through the numbers together, fix any mismatches and adjust labels so everything reads clearly for non-technical users.

  5. 5 Week 4

    Launch and handover

We set up logins, scheduled reports and monitoring, then record a walkthrough. Optional monthly care keeps connections running as platforms change.

Before and after

What changes in your day-to-day once this is done properly.

Building the monthly report
Before: Manual exports from several platforms pasted into a spreadsheet
With Getcustomerservices: Data pulls in automatically on a schedule
Cost per lead
Before: Worked out by hand, often weeks after the fact
With Getcustomerservices: Calculated automatically by channel and campaign
Checking performance
Before: Logging into GHL, Google Ads, Meta and GA4 separately
With Getcustomerservices: One login, one screen
Spotting problems
Before: Noticed at month end, if at all
With Getcustomerservices: Visible in daily trends and optional alerts
Historical comparison
Before: Limited by each platform's data retention
With Getcustomerservices: Stored history for year-over-year views

What you can expect

One trusted source of numbers

Everyone in the business looks at the same figures, defined the same way, which ends the debate about which platform is right.

Time back every month

The hours your team spent copying exports into spreadsheets can go toward work that actually moves the business forward.

Faster decisions on ad spend

Because the data refreshes daily or hourly, you can spot a campaign that stopped producing leads and act on it within days instead of weeks.

Clearer conversations with clients and partners

When someone asks how marketing is going, you can open one link and answer with confidence.

What should a marketing reporting dashboard include?

A useful marketing dashboard answers a short list of business questions rather than showing every number a platform can produce. For most local businesses those questions are: how many leads came in, where did they come from, how many became appointments or sales, what did each one cost, and is the trend going up or down. Everything on the screen should help answer one of those questions.

In practice that means a top row of headline figures such as total leads, booked appointments, ad spend and cost per lead, followed by charts that break those numbers down by channel, campaign and time period. A table of recent leads pulled from GoHighLevel lets you check that the numbers match real people. Filters for date range and location let you answer follow-up questions without asking anyone to run a new report.

  • Headline figures: leads, appointments, spend, cost per lead, revenue
  • Channel breakdown: Google Ads, Meta Ads, organic, referral, direct
  • Funnel view: lead to appointment to sale
  • Date and location filters
  • Recent lead list for spot checks

How does a custom dashboard get data from GoHighLevel and ad platforms?

Each platform offers an API, which is a secure, official way for one piece of software to request data from another. GoHighLevel, Google Ads, Meta Ads, GA4, Search Console, Stripe and most call tracking tools all have one. You grant read-only access, usually by approving a connection screen, and the dashboard can then fetch figures without anyone exporting files.

We run a scheduled job that collects the latest data, cleans it up and stores it in a small database. Storing it matters because some platforms only keep limited history and because combining data from several sources is much faster when it already sits in one place. The dashboard then reads from that database, which keeps pages quick to load even when you look at a full year of data.

Is a custom dashboard better than Looker Studio or the built-in GHL reports?

Not always, and we will tell you if a simpler option fits. GoHighLevel's built-in reporting is good for pipeline and appointment numbers inside one sub-account. Looker Studio is free and works well when your data already lives in Google products and you are comfortable maintaining the connectors yourself.

A custom dashboard makes sense when you need to combine GoHighLevel data with ads, calls and payments, when the free connectors keep breaking or cost extra, when you want your own branding and logins, or when the people reading it are not comfortable with complex tools. The trade-off is an upfront build cost and, usually, a modest monthly fee for hosting and upkeep. We explain these options on the discovery call before you commit to anything.

Frequently asked questions

Straight answers to the questions people ask us most. If yours is not here, ask us directly.

How long does it take to build a custom reporting dashboard?

Most reporting dashboards take two to four weeks from the discovery call to launch. A simple build with three data sources is usually on the faster end. Projects with several sources, custom attribution rules or multiple locations take longer, mainly because we spend time checking that every number matches what you see inside each original platform before handing it over.

Which tools can a reporting dashboard connect to?

We commonly connect GoHighLevel, Google Ads, Meta Ads, Google Analytics 4, Google Search Console, Google Business Profile, CallRail and other call tracking tools, Stripe and QuickBooks. If a tool has an API or can export data on a schedule, we can usually include it. We confirm every source on the discovery call before quoting so there are no surprises later.

Do I need to give you my passwords?

No. Most connections use an approval screen where you grant read-only access to our app or service account, and you can revoke it at any time. Where a platform needs an API key, you can create one yourself and share it through a secure method. We never ask you to send passwords by email or chat.

Will the numbers match what I see inside Google Ads or Meta?

They should match closely for the same date range and settings, and we check this during the review step. Small differences can appear because platforms use different time zones or attribution windows. When that happens, we document the reason on the dashboard so everyone understands why a figure might differ slightly from the native report.

How often does the dashboard update?

Daily refresh is included in every build, and hourly refresh is available where the source platform allows it. Some APIs limit how often data can be requested, and a few report final figures with a delay of a day or more. We explain any delays for your specific tools so you know how fresh each number is.

Can I add more data sources later?

Yes. Dashboards are built so new sources and charts can be added without starting over. Small additions are often covered by the monthly care plan. Larger additions, such as connecting an accounting system or adding a new location, are quoted as a separate piece of work with a clear price before we begin.

What happens if a platform changes its API?

Platforms such as Meta and Google update their APIs a few times a year, and occasionally an update breaks a connection. With the hosting and care plan, we monitor connections and fix them when this happens. Without the plan, we can fix issues on request at our hourly rate, but you would need to notice the problem first.

Who owns the dashboard and the data?

You own your data at all times, and it stays in your accounts and the dashboard database we set up for you. If you leave our care plan, we can hand over the code and database or export your history in a standard format, depending on how the project was set up. We agree these terms in writing before the build starts.
